Fall Clubs Fair 2021 - An Event In Two Parts

This year we are pleased to present Fall Clubs Fair in person and online! Meet up to 450 unique student organizations and make your university experience memorable!


Wednesday September 1 - Friday September 3 2021 (in person and online)

Tuesday September 7 - Friday September 10 2021 (online only)


10 AM - 4 PM (in person)

9 AM - 5 PM (online)

Hours are in Mountain Time.


In-Person: on the Main Quad on North Campus

Student Group Services Staff will be available online and in person at the Fair, to provide support to clubs and individual students throughout the event!

Information for Clubs

To book a VIRTUAL Fall Clubs Fair Booth:

  1. Log in to BearsDen with your CCID
  2. Navigate to the Action Centre (click on the grid icon on the top-right, then "manage"
  3. Click on your student group's name under "My Memberships"
  4. Click on the sign up button for the date(s) you want to participate in Virtual Clubs Fair!

Please note that you will not be able to edit your virtual fair booth after submission. SGS can help with minor edits on request, but to mitigate a large number of these requests please read the signup information carefully before submission.

You will be prompted to include a link to an online meeting platform which will appear alongside your club information at the Virtual Fair. You can use a Google Meeting, a Discord server, a Zoom meeting, or another online platform of your choice. We recommend setting a schedule with your team to make sure that someone from your group will be available to chat with students who are interested in your club during the virtual fair. Post this schedule in the details of your booth description to make it easier for students to connect with you at the right time!

To book an IN-PERSON Fall Clubs Fair Booth:

  1. Follow this link to sign up using the UASU Events Network!
  2. Complete a Fall Clubs Fair Contract on BearsDen.

Please note that you will only be able to book for one club per CCID account. If you are part of multiple student groups, reach out to your teammates to ensure bookings are made for all clubs that wish to participate in person!

Payment will be required as part of your in-person Clubs Fair booking. You will be prompted to pay immediately with a credit card, or you will be able to pay in person at the InfoLink desk at Student Life Central with cash or cheque if you prefer. Receipts will be provided.

Earlybird Pricing (Effective until July 31 2021):

  • $15/half day
  • $25/full day

Regular Pricing (effective August 1-20 2021)

  • $17.50/half day
  • $30/full day

Refunds will be provided on cancellations requests received by 4 PM Mountain Time on August 27 2021, ONLY.

Walk-Up Shifts

30 minutes after the start of each shift at Fall Clubs Fair, any unoccupied tables will be given to student groups waiting for a place at the fair on a first-come, first-served basis. This is known as a "walk-up shift."

Groups wishing to pick up these shifts must make a payment on the spot -- either a dually-signed community account cheque, or cash ONLY. Student Group Services will have a limited amount of change on hand, so please try to arrive with exact amounts.

Each walk-up shift will be $20 for a Morning or an Afternoon.

Walk-up Shifts will become available at the Student Group Services Sign-in Table at: 10:30 AM for morning shifts ending at 12:50 PM 1:30 PM for afternoon shifts ending at 4 PM

Student groups wishing to pick up a shift may come to line up at the SGS Info tent up to 30 minutes before walk-up registration begins (ie, 10 AM and 1 PM).

NOTE: Full-day table shifts will not be guaranteed for walk-ups.

Clubs Fair FAQ

Do we have to pay to participate in Fall Clubs Fair 2021? For VIRTUAL Clubs Fair, there are no fees! For IN-PERSON Clubs Fair, there will be book fees, similar to previous in-person Clubs Fairs. We will be running an earlybird special until July 31 2021, so book early to save some $!

Do we have to set up a live-chat option for our virtual booth? No! If your group would prefer to have students email your club instead, simply leave the ‘live meeting link’ section of your RSVP blank. Instead, a button will appear on the Clubs Fair event display to contact the group through BearsDen -- similar to the “Contact” button that appears at the top of your regular Organization Profile page. Messages sent through that form will be sent to the organization's Primary Contact by default.

Do we have to participate in the entire week of Fall Clubs Fair? No! You can sign up for as many or as few of the days of Fall Clubs Fair as you and your team wishes. There is also no expectation that your club participates in both in-person and virtual Clubs Fair. If one or the other suits your team better, do what you're comfortable with!
